Filing Saarthi

Privacy Policy

Filingsaarthi handles the paperwork behind company registrations, tax filings and regulatory compliance - which means we routinely hold information most sites never touch: PAN and Aadhaar details, financial statements, board resolutions, bank records. This policy is written the way we'd explain it to a client sitting across the table: in plain terms, organised around what actually happens to your documents once you hand them to us.

This Privacy Policy is issued by SPL Chopra Consultancy Private Limited ("Filing saarthi," "the Firm," "We," "Us," "Our") and governs how We collect, use, safeguard and disclose information gathered through www.filingsaarthi.com and in the course of delivering our filing, registration and compliance advisory services (together, the "Services").

This Policy is drawn up as an electronic record under the Information Technology Act, 2000 and rules made thereunder and satisfies the publication requirement under the Information Technology (Reasonable Security Practices and Procedures and Sensitive Personal Data or Information) Rules, 2011. It takes effect the moment You begin using the Website or engage Us for a Service and continued use signifies Your acceptance of its terms. If any part of it does not sit right with You, Our Grievance Officer (Section 10) is a direct line to raise that before You proceed.

01. The Information We Hold

Because our work involves statutory filings, We are entrusted with categories of information well beyond a typical website's contact form. We organise what We collect into three tiers:

  • Identity & contact details: full name, email, phone number, residential or registered address and date of birth or incorporation.
  • Service-specific records: PAN, Aadhaar or other government identifiers, incorporation and licensing documents, financial statements and any supporting paperwork a filing requires. We do not collect card or bank account details through the Website.
  • Technical footprint: IP address, browser and device type and general usage patterns on the Website, collected automatically as You browse.

Where a Service calls for information, we have not listed here, we will ask for it directly and explain why it is needed - We do not collect sensitive documents speculatively. You may browse the Website without disclosing any personal information, though certain filings cannot proceed without the underlying documents the law requires.

02. How That Information Is Put to Use

  • To prepare, verify and file the specific registration, return, or compliance document You have engaged Us for.
  • To communicate case status, request missing documents and answer questions related to Your engagement.
  • To coordinate payment of fees. The Website does not process payments directly or store card or bank details - payment is arranged separately over WhatsApp, where We share a UPI QR code for You to complete the transaction and We retain only the transaction reference needed for Our statutory records.
  • To refine the Website and Our internal processes, using de-identified, aggregated usage patterns.
  • To share relevant updates or service announcements - only where You have opted in and always with a one-click way to opt back out.

We do not repurpose the documents You entrust to Us for any filing beyond the one they were collected for, without asking You first.

03. Cookies & Website Analytics

The Website uses cookies to recognise returning visitors and understand how the site is used. A cookie on its own cannot read Your hard drive and does not identify You unless You have separately registered or logged in. You are free to configure Your browser to block or flag cookies; doing so may limit some interactive features of the Website. Where third-party advertising networks (including Google) place their own cookies to serve contextual ads, that exchange is governed by their respective policies, not this one and Google's opt-out tools remain available to You at any time.

04. Safeguards We Apply

Given the sensitivity of filing-related documents, security is not an afterthought here. Data in transit moves over SSL-encrypted channels; data at rest sits in access-controlled databases behind a firewall, reachable only by personnel who need it to progress Your filing. We do not handle or store card or bank account details on the Website - payments are coordinated directly with You over WhatsApp using a UPI QR code and are subject to the security of Your own UPI provider. We conduct periodic internal reviews of Our safeguards. No system is immune to every risk and We cannot promise absolute security - but We can promise that protecting Your filings is treated with the same seriousness We'd want applied to Our own.

05. When Information Is Shared

We are not in the business of trading client data. Sharing happens only in the following circumstances:

  • Service delivery partners: vendors who help Us send communications, process payments, or host infrastructure, bound by confidentiality and instructed to use data solely for that purpose.
  • Group and affiliate entities: where a Service is fulfilled jointly with a sister concern, with Your consent and subject to that entity's own privacy practices.
  • Legal and regulatory bodies: where disclosure is required by law, by a court, or by a government authority - for identity verification, investigation, or compliance with applicable regulation.
  • Business transitions: in the event of a merger, acquisition, or restructuring, with advance notice to affected clients wherever practically possible.

06. Links to Other Websites

Where the Website links out to government portals, payment gateways, or other third-party resources, those destinations operate under their own privacy practices, which We encourage You to review. Our responsibility ends at the point of referral.

07. Children's Data

Our Services are directed at businesses and adult individuals managing statutory obligations. We do not knowingly collect information from anyone under the age of 13 and no part of the Website is designed to attract that age group.

08. Your Rights Over Your Data

You may request a copy of the personal information We hold about You, ask Us to correct inaccuracies, or withdraw consent for optional communications at any time. Because certain filings create statutory retention obligations, We may not be able to delete records tied to an already-submitted filing, but We will always tell You when that is the case rather than leaving the request unanswered.

09. Changes to This Policy

Where We revise this Policy in any material way, We will notify registered Users by email and update the effective date above. We encourage You to revisit this page periodically; continued use of the Website or Our Services after a revision takes effect constitutes acceptance of the updated terms.

10. Grievance Officer

Questions, concerns, or complaints about how Your information is handled can be directed to Our Grievance Officer, who is personally responsible for resolving them within the timelines prescribed under applicable law:
